Set Up Business Email (info@yourdomain) on iPhone, Android and Outlook
By Jumbe Nylon, Founder & CTO, SakuraHost. Updated October 15, 2026.
Short answer
Use your full email address as the username and add the account manually. Incoming mail: IMAP, server mail.yourdomain, port 993, SSL/TLS. Outgoing mail: SMTP, server mail.yourdomain, port 465, SSL/TLS, with authentication on and the same login. If your domain points to a different host, use the server name in your welcome email.
Key takeaways
- The username is always the full email address, not just the part before the @.
- IMAP keeps every device in sync. POP3 downloads and removes mail from the server.
- Most connection errors are a wrong password, a wrong server name or the wrong port.
- If the password is rejected, reset it in cPanel or ask support to reset it.
You have a new business mailbox and want your emails on your phone and laptop. Most mail apps try to guess your settings automatically, and for custom domains they often guess wrong. The result is a spinning wheel, a certificate warning or the message that your password is incorrect.
The fix is nearly always to set the account up manually with the right server names and ports. This guide gives you the values, walks through iPhone, Android and Outlook, and explains what each error really means.
The settings you need
| Setting | Value |
|---|---|
| Username | Your full email address, e.g. info@yourcompany.co.tz |
| Password | The mailbox password (not your client area or cPanel password) |
| Incoming (IMAP) server | mail.yourcompany.co.tz |
| IMAP port and security | 993, SSL/TLS |
| Outgoing (SMTP) server | mail.yourcompany.co.tz |
| SMTP port and security | 465, SSL/TLS, authentication required |
| POP3 (if you must) | Port 995, SSL/TLS |
Replace yourcompany.co.tz with your own domain. If your website is hosted elsewhere, for example on Netlify, the mail server name can differ, so use the server name in your welcome email. See keep email working when your website is on another platform.
IMAP or POP3?
Choose IMAP. It keeps the messages on the server, so your phone, laptop and webmail all show the same inbox, and a message you read or delete on one device is updated on the others. POP3 downloads the mail to one device and often removes it from the server, which is how people lose mail when a phone breaks. The only reason to use POP3 is to keep a local archive, and even then IMAP plus a backup is safer.
Set up on iPhone
Add a mail account
Open Settings, Mail, Accounts, then Add Account, and choose Other, then Add Mail Account.
Enter your details
Type your name, your full email address, the mailbox password and a description, then tap Next.
Choose IMAP and enter the servers
Select IMAP. For incoming mail use mail.yourcompany.co.tz, and the same name for outgoing mail. Enter your full email address as the username and the password for both.
Check the port and security
In the account advanced settings make sure incoming is port 993 with SSL and outgoing is port 465 with SSL.

Set up in Outlook
Add the account manually
In Outlook choose File, Add Account, type your email address, expand Advanced options and tick Let me set up my account manually.
Choose IMAP
Enter the incoming server, port 993 and SSL/TLS, then the password.
Check outgoing settings
In Account Settings make sure the outgoing server is mail.yourcompany.co.tz, port 465, with SSL/TLS and authentication on.
Fix: password rejected or login failed
- Use the full email address as the username.
- Type the password carefully. Check Caps Lock and avoid copying a trailing space.
- Make sure it is the mailbox password and not your client area or cPanel password.
- Reset the mailbox password in cPanel, or open a ticket and we will reset it.
- An unpaid invoice can suspend the service, so check the invoice status: overdue invoice.

Fix: cannot send or receive
- If you can receive but not send, check the outgoing port and that authentication is on.
- If you can send but not receive, check the incoming settings and that the mailbox is not full: mailbox full.
- If senders see bounce messages, read email bounce messages explained.
- If your mail lands in spam at the receiver, see why business emails go to spam.
Use webmail when in doubt
Webmail is the quickest test of whether your mailbox itself works. If you can log in and send from webmail but not from your phone, the problem is the phone settings. If you cannot log in to webmail either, the password or the service status is the issue. Find the webmail link in your welcome email or in cPanel, and read using webmail.
Keep your mailbox secure
A business mailbox holds invoices, contracts and password-reset emails, so it is a target. A few habits protect it without much effort.
- Use a long, unique password for each mailbox and keep it in a password manager.
- Do not read business email on public Wi-Fi without a screen lock and updated software on your phone.
- Lock your phone with a PIN or fingerprint, because the mail app stays signed in.
- If a phone is lost, change the mailbox password at once, which signs the old device out.
- Never reply to an email asking for your mailbox password. SakuraHost will never ask for it.

Move your old emails to the new mailbox
If you used a free mailbox before, you can bring the old messages with you. The simplest way is to add both accounts in the same mail app and drag the folders you want from the old account to the new one. For a larger move, we can help you migrate in one go: migrate email accounts to SakuraHost.
Tell your contacts about the new address, set a forward from the old mailbox for a few months, and update the address on your website, invoices and social profiles so nobody keeps writing to the old one. See email forwarders and auto-responders.
Certificate warnings when you add the account
Sometimes a phone shows a warning that the server certificate is not trusted when you add the account. This normally means the server name you typed does not match the name on the certificate, for example mail.yourdomain instead of the server name in your welcome email. Use the exact server name from the welcome email and the warning disappears.
Do not simply tap Continue on a certificate warning over an unknown network. Check the server name first, and open a ticket if it still appears: email login or connection problems.
Frequently asked questions
What is my email username?
The full email address, for example info@yourcompany.co.tz.
What are the IMAP and SMTP ports?
IMAP is port 993 with SSL/TLS, and SMTP is port 465 with SSL/TLS. POP3, if you use it, is port 995.
What is the mail server name?
Usually mail.yourdomain, for example mail.yourcompany.co.tz. If your website is hosted elsewhere, use the server name in your welcome email.
Why does my phone say the password is wrong?
Check that you use the full address as username and the mailbox password. You can reset it in cPanel or by asking support.
Should I use IMAP or POP3?
IMAP, because it keeps all your devices in sync and does not lose mail if a device is lost.
Can I read my business email in Gmail?
Yes. Add it as an account in the Gmail app using the IMAP and SMTP settings above.
